KEEP EMAILS SHORT *
Don't write a novel. Consider using an attachment for longer, detailed information

REPLY QUICKLY *
Respond within 24 hours. Send a quick acknowledgment if it will take you longer to reply

CHOOSE A MEANINGFUL SUBJECT LINE *
Be clear, not clever or cute. Don't be vague, use something relevant to clarify the email's content. this also allows them to locate tour email in the future

CHECK SPELLING, GRAMMAR & PUNCTUATION * 
Your writing reflects you and your company. reread your documents before sending. Don't end a sentence with 5 exclamation marks!!!! The important part of the message should be in the text, not in the punctuation

DON'T MIS-USE REPLY ALL *
Be careful when replying to an entire mailing list. It's rare that the entire mailing list needs to see your reply

TO,CC,BCC *
First, there are the users who have no idea that the 'CC' exists.Every address is listed in the 'TO' even if the email is only directed to one person. In cases such as this the receivers have no clue as to eho should take action so either they all do something or they all do nothing. Secondly, there are users who feel that every singel e-mail shoul be copied to their entire address book wheter it's relevant to those receiving it or not
            
DON'T TYPE IN CAPS *

THREADS AND QUOTING THE ORIGINAL MAIL *
When answering questions from an email, reply to and quote from the original email along with ypur reply. this is more effective then starting your mail

DON'T ARGUE OR SEND EMAILS WHEN ANGRY *
Count to ten before sending an email

FORMATTING *
If your email is more complicated then a few paragraphs of text it will probably be reformatted when read by recipient. Reading colored stationary an special & colored fonts don't look correct on non Outlook programs' and look even worse on a mobile device. If ypu need to preserve the special formatting of your document; send it as a Word or PDF attachment

CREATE A SIGNATURE *
Include a brief signature that includes name, adress, phone number, email, company name, disclaimer, website

FORWARDING EMAILS *
You "should" tell the original author that you're forwarding their email - remember that your own emails may also be forward without ypur knowledge

COMPANY EMAIL RULE *
If you send an email from your company , it came from ypur company. Don't use your company's email for anything personal - period. also remember: emails are read at someone's workplace' so don't send anything inappropriate for public viewing. however, if you do, give the recipient a warning! and while you may have intended for only one person to resd your email, it can (and may) be read by others

DELIVERY RECEIPTS *
Unless required by your company; don't use this feature because it can only be enforced within your company. it doesn't work with all email programs, and people feel they're untrustworthy
